Immigration went digital We’ll walk you through it

As of April 27, 2026, all residence permit applications in Poland must be filed electronically through the MOS Portal. Picking the right form, gathering the right documents, and responding to the office on time still takes expertise. That’s where we come in.

What changed?

Poland is transitioning residence permit applications to the MOS Portal (Moduł Obsługi Spraw). The portal has a multilingual interface, but all official correspondence from the voivodeship office stays in Polish.

For employers, work permit applications and employer declarations are handled through the separate praca.gov portal. Between the two systems, the full immigration process is moving online, but a good interface doesn’t make the process itself any simpler.

What the MOS Portal covers

All residence permit applications in Poland now go through the MOS Portal. These are the application types you file through it:

Temporary residence permits

All types: work, study, family reunification, Blue Card, and more.

Permanent residence and long-term EU resident permits

For those who qualify for settlement or long-term EU resident status in Poland.

Visa invitations and other supporting procedures

Including invitations for visa applications and related administrative procedures.

Why you still need help

The portal is well-built and available in multiple languages, but the immigration process behind it hasn’t gotten any simpler:

Choosing the right application

The portal offers many form types for different permit categories. Picking the wrong one means starting over. Knowing which application fits your situation requires understanding Polish immigration law, not just reading the form labels.

Strict document requirements

Uploaded documents must meet specific format, size, and certification requirements. Incorrect uploads can delay your case or lead to a request for correction.

Official correspondence in Polish

The portal interface is available in several languages, but official decisions, correction requests, and correspondence from the voivodeship office are issued in Polish. Understanding and responding to these on time is critical for your case.

Hard-to-fix mistakes

Once an application is submitted through MOS, correcting errors requires formal correspondence with the office. Getting it right the first time matters more than ever.

Digital identity required

You need a verified digital identity to access the portal. MOS uses the login.gov.pl gateway, which supports Profil Zaufany, e-dowód (electronic ID card), and qualified electronic signatures. Setting this up as a foreigner isn’t always straightforward.

What we handle for you

Digital identity setup

Profil Zaufany, login.gov.pl, and MOS Portal account creation, including the steps that trip foreigners up.

Application preparation

We review your situation, pick the right permit type, and prepare every document to the portal’s format and certification standards.

Online submission

We file your application through the MOS Portal as your authorised representative, so you don’t have to learn the system yourself.

Office correspondence

We monitor case status, open Polish-language correspondence from the voivodeship, and explain what each letter means.

Corrections and follow-ups

When the office requests additional documents or corrections, we respond on time and in the right format.

eGovernment — Frequently Asked Questions

No. As of April 27, 2026, residence permit applications must be filed through the MOS Portal. Paper applications are no longer accepted at voivodeship offices. If you’re not sure how to use the portal, we can file on your behalf as your authorised representative.

MOS stands for Moduł Obsługi Spraw: the Polish government’s online system for residence permit applications. You can find it at mos.cudzoziemcy.gov.pl. It lets you submit applications, upload documents, track your case, and receive correspondence from the office. Work permit applications go through a separate portal, praca.gov.

Yes. An authorised representative can file and manage your application through the portal. This is exactly what we do: we handle the full process from account setup to final decision, so you don’t have to deal with the system yourself.

Employers file work permit applications and employer declarations through praca.gov using their own account. For residence permits, the applicant or their authorised representative files through the MOS Portal. We can act as your representative for both systems.

You need a verified digital identity to log in and submit applications. MOS uses login.gov.pl for authentication: it supports Profil Zaufany, e-dowód (electronic ID card), and qualified electronic signatures. We can help you set this up if you don’t have one yet.

The documents you need depend on the type of permit you’re applying for. At minimum, you need a digital photo that meets Polish ID photo standards. For temporary residence permits, you also attach supporting documents: employment contracts, proof of accommodation, health insurance, and others depending on the permit type. We review and prepare everything before submission.

The portal interface is available in seven languages: Polish, English, Ukrainian, Russian, French, Vietnamese, and Arabic. Official correspondence, decisions, and correction requests from the voivodeship office are all issued in Polish.
